Raynet & USU optimize enterprise-wide Software Asset Management at Fresenius based on highest data quality

Transparency, automation, and control over IT assets are the result of a successful data transformation and the fundamental basis for modern Software Asset Management (SAM). By implementing USU SAM in close cooperation with technology asset inventory specialist Raynet and HiSolutions, Fresenius Digital Technology GmbH was able to reduce effort and costs in a very short time while increasing data quality and range.

Fresenius Digital Technology is the IT service provider of the Fresenius Group – a global healthcare company with products and services for dialysis, hospital, and outpatient care. With its many years of experience in the healthcare and pharmaceutical sectors, Fresenius Digital Technology develops services and tools that meet the individual needs of its business partners. “There is an analogy between dialysis and SAM processes. Just like a dialyzer that filters the blood through a multitude of fine fibers, one of the most important requirements in a SAM project is to ‘filter’ the amount of different raw data in order to ultimately produce a valid basis on the way to the compliance balance sheet.”

The challenge
The large number of IT assets that could not be accessed automatically and the heterogeneous and decentralized IT infrastructure of the group made continuous data collection difficult. In addition, the maintenance of relations between clusters, physical and virtual hosts by manually collecting data can only be carried out with a lot of effort and ultimately only reflects a snapshot. 

To ensure data quality for effective software asset management, Fresenius Digital Technology has carried out many processes manually in recent years – this is time-consuming and hardly possible in a highly dynamic IT environment.

“Managing large amounts of data requires a lot of attention in both small and large companies. Within the group, we have areas where processes have a high degree of automation, but also areas where this is not the case. Therefore, we needed the automated data from which we can obtain relevant information and maintain it on an ongoing basis,” reports Oliver Hartmann.

Overcoming these challenges requires standardized processes and a solution that is customized to the needs of Fresenius Digital Technology, reduces manual effort, and at the same time ensures a high level of automation and data quality.

The solution and customer benefits
Raynet and USU prevailed as the best-of-breed solution against three other competitors as part of a comprehensive selection process. After a proof of concept with a focus on Microsoft 365 and USU License Management, USU Discovery powered by RayVentory was implemented in the further course of the project. With the goal of creating sustainable and transparent software asset management for internal customers, both USU and HiSolutions AG supported the major project.  

The participating companies decided on important goals for the complex SAM processes, based on specifications of the challenges.

“In the first few weeks, we focused on how we could increase data quality, data completeness, and reach, while at the same time reducing manual effort through a high degree of automation. For this purpose, we developed a discovery strategy early on and considered how we would deal with KPIs and certain framework conditions."

This strategy was tested together with Fresenius Digital Technology´s customers in the pilot phase and slightly adjusted based on the initial results. This was the starting signal for the introduction and operationalization of “Data Collection 2.0”. 

Thanks to USU Discovery powered by RayVentory, Fresenius Digital Technology is now able to continuously collect data and therefore creates the necessary transparency across all IT assets in its decentralized infrastructure. The IT service provider’s IT administrators use the flexible inventory technologies to scan their environments in a fully automated manner. This gives Fresenius Digital Technology’s SAM team more time to focus on their data and quality management and then provide internal customers with significant KPI reporting using USU License Management and SAM Analytics.

Due to the many individual requirements of the globally positioned business segments, Fresenius also benefits particularly from the added value of the individual customizing options and the multi-client capability of the USU and Raynet software asset management solutions. In addition to the points mentioned, the wide range of managed services as well as cloud reporting and optimization options were also important criteria when making the final decision.
